Availability Report
This report sorts by product Group and provides information by
location of the quantity "On Hand", "On Rent", "Other", and
"Available" as of the current or a future date based on the
Requirements records.
The On Hand value is calculated from the inventory
location file (RSIL), whereas the other columns are calculated from
the requirements file (RSRQ).
There are various configuration parameters for requirements that
could cause the values to not add up, so looking at the Product Availability/Bookings Inquiry and the
'Product Quantity On Hand' window in Rental
Inventory or Sales Inventory will
explain the reflected values.
Also because the requirement records are date sensitive, the
counts "On Rent" and "Other" (on Reservation, Transfers, Sales
Orders, etc) for products, may not match the count for the same
products in the drill down Locations window on the "On Hand"
field in Rental Inventory and Sales Inventory, as this window includes any
future dated Contracts, Reservations, etc. as well.
Note: Records will be generated to reflect any product in the
selection range that has a quantity on hand or has a quantity
committed as listed in the Inventory Locations
Quantity window that affects requirements.
If a product has no quantity on hand and no quantity on a document
that affects requirements, then that product will not be reflected
on the report.
Filters can be used to report on a range of locations, for
products in a Group selection, or products using Reporting Sets.
All products, or just Rental equipment, or just Sales parts, or
only products flagged as inventory, can be included.
Product detail is optional.
- The summary output includes one line per Group for each
location, with the quantity values for On Hand, On Rent, On Other
and Available.
Totals per Group and for the entire report are included on the
report output.
- The product detail sorts by Group and includes one line for
each product for each location, with the quantity values for On
Hand, On Rent, On Other and Available.
A total is generated for any Bulk products with quantities at
multiple Locations, and totals per Group, and for the entire report
are included on the report output.
This information can also be run automatically with the
spreadsheet output emailed to staff by setting up RSRQ25 with the
relevant filters and email addresses in the Automatic Reporting.
The prompts and filters include:

- FROM LOCATION
- Leave this field blank to include all locations, or to narrow
the range enter a starting location for the report or select one
from the drop-down box.
- TO LOCATION
- Leave this field blank to include all locations, or enter an
ending location for the reporting range or select one from the
drop-down box.
Note: This report does not respect Divisional Restricted Views.
FROM GROUP
- Leave this field blank to include products from all Groups, or
enter a starting Group for the reporting range, or select one from
the Group Search window.
- TO GROUP
- Leave this field blank to include products from all Groups, or
enter an ending Group, or select one from the window.
Note: The Group selection is for the products in the Group, as
the report does NOT include Group Bookings.
PRODUCT TYPE
- Select one of the following product options:
- Select Rentals to include rental equipment only in the
report.
- Select Sales to include only sales parts in the
report.
- Select Both to include rental equipment and sales parts
in the report.
INVENTORY ITEMS ONLY
- Check this box this box to only include products that are
flagged as Inventory in Rental
Inventory or Sales Inventory.
Uncheck this box this box to include all products, including
products that are flagged as NOT being Inventory.
AS OF DATE
- Accept today's date or enter a preferred future date for the
availability report.
Note: This report cannot be back-dated as the requirement
transactions may no longer be accurate as of a prior date for
closed transactions.
PRINT PRODUCT DETAIL
- Uncheck this box if quantity details are required at the Group
level only.
Check this box to generate a quantity record for each product in
each of the selected Groups.
REPORTING SET, "ALL" OR "SEL"
- Leave this field blank to skip the Set selection filter and to
include all eligible products.
To utilize the Set selection option choose one of the
following:
- Type ALL to include all Sets as setup in Reporting Sets in the report.
- Enter a single specific Set code for the report, or select one
from the Reporting Set Search
window.
- Type SEL to select a range of Sets or to select Sets by Owner
to include in the report, as outlined in Select Reporting Sets.
Note: If ALL is entered for the Report Set filter then only
products assigned to a Reporting Set will be included in the
report.
CONSOLIDATE LOCATIONS
- Uncheck this box to print the total quantity for each product
or Group on one line representing ALL locations.
Check this box to generate a quantity record for each product or
Group for each location.
REPORT OPTIONS
- This value defaults to the operator preference as defined in
Operators.
Select one of the output options to Print a report or export
the data to Excel as outlined in Report Options.
Finished?
- A printer can be confirmed or re-selected from the Printer
option located on the menu bar at the top of the screen.
Click the ACCEPT button to begin printing the report, or CANCEL
to abort.
