SmartEquip Compliance


Utilities Menu -> System Maintenance Utilities -> Export Inventory to SmartEquip -> COMPLIANCE button -> SmartEquip Compliance

Certain fields for non-bulk rental products are mandatory to capture and categorize complete information in the SmartEquip export tables, when the SmartEquip processing is activated and configured on the SmartEquip tab of the Software Integration.

This utility can be used to export product information which is required for SmartEquip to an Excel spreadsheet.
All non-bulk product information or just records with missing data, with or without including products with a zero quantity, can be included in the exported spreadsheet.
Required fields that can be updated using this utility include the Make, Model, Fixed Asset Tag Serial #, and Manufacture Date.

The data can be verified and updated on the spreadsheet and after the spreadsheet is saved as a Tab-Delimited ASCII .txt file, it can be import back into SRM to update the corrected values.

The import action moves the tab-delimited text file from the Client to the Server as outlined in Select a File to Upload, and when accepted updates the associated Rental Inventory records.

The prompts for this utility include:

ACTION
Select one of the following actions for the spreadsheet:
  • Select Import to import the corrected information in a tab-delimited format to update Rental Inventory.
  • Select Export to output existed inventory values to a spreadsheet.

RECORD TYPES
This field only applies to Exports.
Select one of the following record filters for the spreadsheet:
  • Select All Record to include all non-bulk rental products on the spreadsheet.
  • Select Failed Only to only include non-bulk rental products that are missing information in one of the mandatory fields, including Make, Model, Fixed Asset Tag Serial #, and Manufacture Date.

DATE FORMAT
This field only applies to Imports

INCLUDE 0 ONHAND ITEMS
Although the export to SmartEquip includes all non-bulk rental equipment, the compliance check can be run excluding inventory that is not in stock if desired.
This field only applies to Exports.

Finished?
Click ACCEPT to continue with the import or export action, or CANCEL to abort.

Export:
The appropriate spreadsheet will be exported to display on the screen or the prompt to email it is triggered as controlled by the Prompt to Email Spreadsheets flag set in Company Miscellaneous Parameters.

Import:
If a file is to be imported, the prompt to Select a File to Upload is triggered to select the file to load.
Only the values for Make, Model, Fixed Asset Tag Serial #, Manufacture Date, and Engine Serial Number are uploaded.
An error log is generated in the Information Log format if data is missing or errors are found.
A verification spreadsheet is generated to show valid records that have been updated.
