Customer Info Export

Information -> Customer Info Export
This export utility can be used to select the customer records
to be updated and to generate a spreadsheet with or without the
existing values for the selected customers.
The 'Customer #' cannot be changed, but all other values on the
spreadsheet columns can be updated with the Customer Info Import.
When the Insurance Comments are imported,
the new notes will replace any existing notes for those
customers.
The prompts are:

- DATE FORMAT
- Accept the date format default as defined for your company in
Company Information, or enter the
preferred format.
i.e. North America = mm/dd/yyyy , European = dd/mm/yyyy
IMPORT TEMPLATE ONLY
- Check this box to generate 2 blank spreadsheet2 with the
customer field columns and insurance notes columns but with no
values.
Uncheck this box to use the filters below to select customer
records and to populate the resulting spreadsheets with the values
currently assigned to those customers.
Populated Template Filters:
The following selection
filters are disabled if a blank template is being generated.
- CUSTOMER, 'ALL' OR 'SEL'

- Type ALL to include all customers in the output, and to narrow
the list of customers the From/To filters below can be used
to define a range.
- Enter a specific customer number to export, or select one from
the Customer Search window.
- Type SEL to select a multiple specific customers to include as
outlined in Select Customers window.
Range of Customers:
The From/To prompts are only enabled when ALL customers is
selected above.
- FROM CUSTOMER
- Leave this field blank to consider all customers, or enter a
starting customer number for the range, or select it from the
Customer Search window.
- TO CUSTOMER
- Leave this field blank to consider all customers, or enter an
ending customer number for the range, or select it from the
window.
CUSTOMER TYPE
- Select one of the following account types for the customers as
flagged in Customer Information:
- Cash to include only customers flagged as Cash
only.
- On Account to include only customers flagged as charge
On Account.
- Both to include all customers.
SALESMAN, OR 'ALL'
- Type ALL to include customers for all salesman codes, or to
only include customers for a specific salesman, select the salesman
code from the drop down box as setup in the Salesman Codes.
Finished?
- Click ACCEPT to generate the spreadsheet or CANCEL to
abort.
Resulting Spreadsheets:
Customer Information:
- If the resulting spreadsheet is populated it includes the
Customer number for reference. This field cannot be updated by this
import process.
- If the resulting spreadsheet is populated it includes the first
3 lines of the Insurance Comments for reference. These fields are
display only and cannot be updated by this import file.
To update the Insurance Comments use the exported spreadsheet on
the Notes tab and the separate Notes upload and import
options.
- Any other existing values on the spreadsheet can be updated by
this process.
- The date format must match the defined format.
i.e. North America = mm/dd/yyyy , European = dd/mm/yyyy
- Modify the spreadsheet with the correct values.
- The Customer numbers on the import file must already exist, as
any new customer numbers that do not find a match in the Customer Information table will be ignored on the
import.
- On import, the option is provided to ignore blank values in the
import fields and to leave existing data in those fields unchanged,
or to import the blank fields as blank removing existing customer
data in those fields.
Customer Insurance Comments:
- If the resulting spreadsheet is populated it includes the
Customer number and Name for reference. These fields cannot be
updated by this import process.
- Multiple lines of existing Insurance Comments for each customer
are listed and additional notes can be added.
- Notes are ADD-only for the import, so if there are notes on the
spreadsheet for a given customer all existing insurance notes for
that customer will be removed and replaced with the new notes
updating the Insurance Comments
table.
Save the Revised Data:
When the values are all updated on the worksheet, save the
completed spreadsheet as a tab-delimited text file on your
client machine.
Then use the Select a File to Upload utility
to move the saved text file from your client to the server in
preparation for re-importing the data with Customer Info Import.
