Customer Mailing Labels By Range Selection

** This utility is under development and is not yet available. **

These labels are often used for mass mailing. The program prints mailing or shipping labels, with one label printed per customer.

Note: Labels can be printed using Laser printing only from a Windows Client.
To print labels from a Web Session or from an Open Client session, generate the Customer list to Excel and use that software to print labels.

A Mailing Label is 3 1/2" x 15/16" and is generally used for labeling envelopes.
A Shipping Label is 3 7/8" x 2 3/4" and is generally used for packages. This label has your address and logo pre-printed on the upper half, and the customer's address prints on the lower half.

First select the range and then select the sorting order.

Range:
Pick the range of customers to print from any combination of these six: customer name, customer number, customer type, salesman code, terms code, and credit rating.

Sort By:
After selecting which range of customers to print, select the order which the labels will print: by Customer Name, Customer Number, Postal Code, or Salesman Code.

For example, you can select Customer Type H - Homeowners, for Salesman Codes 1 & 2, then have the labels print in Alphabetic Order.
The prompts are:

FROM CUSTOMER NAME
Leave this field blank for all customers or type in a beginning customer name.
Use the first four or five letters of the name, which will be used to match with the ALPHA name in Customer Information.

TO CUSTOMER NAME
Leave this field blank for all customers or type in the ending customer name.
e.g. Use the range F - MZ to get all customers beginning with F through to all M customers.

FROM CUSTOMER NUMBER
Leave this field blank for all customers or type in the beginning customer number, or look it up in the Document Customer Search window.

TO CUSTOMER NUMBER
Leave this field blank for all customers or type in the ending customer number or look it up in the window.

FROM CUSTOMER TYPE
Leave this field blank for all customers, or select the beginning Customer Type, or select the beginning Customer Type from the drop-down box, as defined in Customer Types.

TO CUSTOMER TYPE
Leave this field blank for all customers, or select the ending Customer Type from the drop-down box.
To select only 1 customer type, the FROM & TO Customer Types must be the same code.

FROM SALESMAN CODE
Leave this field blank for all customers, or select the beginning Salesman code from the drop-down box, as defined in Salesman Codes.

TO SALESMAN CODE
Leave this field blank for all customers, or select the ending Salesman code from the drop-down box.
To select only 1 salesman code, the FROM & TO Salesman Codes must be the same code.

FROM CREDIT RATING CODE
Leave this field blank for all credit codes, or select the beginning Credit Code, as set up in Credit Ratings .

TO CREDIT RATING CODE
Leave this field blank for all credit codes, or select the ending Credit Code.
To select only 1 code, the FROM & TO Credit Rating Codes must be the same code.

FROM TERMS CODE
Leave this field blank for all customer terms, or select the beginning Terms code as defined in Terms Codes.

TO TERMS CODE
Leave this field blank for all customer terms, or select the ending Terms code.
To select only 1 terms code, the FROM & TO Terms Codes must be the same code.

(C)ASH, ON (A)CCOUNT, (B)OTH
Type B to include Both Cash customers and On Account customers in the label selection.
Type C to print labels for only the Cash customers in the range.
Type A to print labels for only the On Account charge customers.

SORT BY:
After picking the range of labels to print above, select one of the following:
1. NAME
Select Option 1 if the labels should print in alphabetical order by Customer Name.

2. NUMBER
Select Option 2 if the labels should print in numeric order by customer number.

3. POSTAL/ZIP
Select Option 3 if the labels should print in Postal/Zip code order.

4. SALESMAN
Select Option 4 if the labels should print in Salesman code order.

INCLUDE SITE ADDRESS
Enter Y (YES) to print labels for the customer sites, as well as the customers.
Site records are setup in Customer Site Information.
When Site labels are selected, only 1 across mailing or shipping labels can be printed.
These labels must be printed and cannot be saved in an ASCII file.

Enter N (NO) to select only the customer address labels.


INCLUDE PRINTED STMNT CUST
Type Y (YES) to print labels for customers that would receive a customer statement.
This would require that their Account Balance be greater than zero currently and that they have the prompt PRINT STMNTS = Y or I in Customer Information.

Type N (NO) to omit printing a label for customers flagged to receive printed statements in Customer Information.

Note: Most firms do not send Statements to Customers with Credit Account Balances.
i.e. A balance less than zero, therefore these Customers will NOT get a label printed for them.


INCLUDE FAXED STATEMENT CUST
Type Y (YES) to include customers that were faxed a statement.
They will need a statement label, if you are mailing a newsletter or other promotional items each month.

Type N (NO) to skip customers that were faxed a statement.
They will not require a statement label, if you are not mailing a newsletter or other promotional items with the monthly statement.


INCLUDE NON-STATEMENT CUST
Type Y (YES) to print labels for Customers that would not receive a monthly Customer Statement.
This is useful for monthly mailing of Marketing Literature, or a newsletter.

Customers selected would include Customers with Account Balances of zero or less than zero (Credit Balance) and also Customers with the prompt PRINT STMNTS = NO in Customer Information.


PRINT CONTACT NAME (Y/N)
Type Y (YES) to have the contact name (if there is one) from Screen 1 of Customer Information print.
It will print ATTN: before the contact name.

Type N (NO) to skip the contact name.


ACTIVE CUSTOMERS ONLY
Type N (NO) to include all customers in the range.

Type Y (YES) to include only customers with activity (posted A/R invoices, finance charges or payments) within the selected date range.

FROM DATE
Accept the date, or enter a starting date for the active range.
TO DATE
Accept today's date, or enter an ending date for the active range.

1 OR 4 ACROSS LABELS/SHIPPING
Press <ENTER> for 1 across labels. Mailing labels are 3 1/2" x 15/16" Continuous Feed.

Type in 4 for 4 across labels. These labels are generally on a sheet and must be printed on a Wide carriage printer.
If the option to print labels for Sites was selected above, the labels cannot be printed 4 across.

SPACING
Press <ENTER> for a spacing of 1 character between the 4 across labels, or type in the correct spacing.

Type S to print Shipping labels for the selection. Shipping labels are 3 7/8" x 2 3/4".


SEND TO PRINTER OR FILE
Press <ENTER> or P to print the labels out.

Or type F for FILE to send the names and addresses to an ASCII File. The name of the ASCII File is ARCFA. It will be saved in the current data directory in capital letters.
The ASCII file could then be imported into a Word Processor or other software to merge with letters, envelopes, etc.

(F)IXED OR (C)OMMA
Enter F if the ASCII file needs to be in fixed format.
Enter C is the ASCII file needs to be in comma format.

Note: If the option to print labels for Sites was selected above, the labels must be printed and cannot be saved to an ASCII file.


ACCEPT OR CANCEL
A printer can be selected from the Printer option located on the menu bar at the top of the screen.

Press <ENTER> to begin printing the report, or / to cancel.


PRINT ALIGNMENT
If the labels are to be printed, then you will be prompted for the PRINT ALIGNMENT test.

Type Y (YES) to print a test label to ensure the printer is lined up.
Type N (NO) to begin the print run.


COPY THIS FILE TO FLOPPY DISKETTE?
If the option to SEND TO FILE, was selected above, then the following prompt appears:
COPY THIS FILE TO A FLOPPY DISKETTE?
If YES, then the ASCII file will be copied to the disk according to:
ENTER DISKETTE TYPE FROM ONE OF (1, 2, 3, OR 4):
Select one of the following:
  1. 3.5", DOUBLE SIDED, DOUBLE DENSITY, 1.44Mb
  2. 3.5", SINGLE SIDED, SINGLE DENSITY, 720Kb
  3. 5.25", DOUBLE SIDED, DOUBLE DENSITY, 1.2Mb
  4. 5.25", SINGLE SIDED, SINGLE DENSITY, 360Kb

If NO, then the ASCII file ARCFA will be created in the current data directory.
It may manually be accessed by exiting TSI Software.
