BUILD -> Build Merge Customer List
This utility can be used to identify customers with no invoice
activity or sales history dated after a specified cut-off date.
It can be accessed from Customers To Merge
by clicking on the BUILD button.
A list of eligible customers is generated and is displayed on the
screen for editing.
Customers with any open Reservations, Work Orders, Sales Orders,
Quotes, or any unpaid balances 'On Account' are omitted.
Note: Any posted Cash invoices (i.e. not posted on Account &
not open in ARAR) are NOT considered when checking for activity,
regardless of the date.
After the list is created, reviewed, and updated in Customers To Merge, the customers can be merged by
clicking the MERGE button as outlined in Print And Merge Customers.
The prompts to generate the list of eligible customers to be
merged are:

- FROM CUSTOMER#
- Leave this field blank to include all customers in the
selection, or enter a starting customer number, or select a
starting customer record from the Accounting
Customer Search window.
TO CUSTOMER#
- Leave this field blank to include all customers in the
selection, or enter an ending customer number, or select an ending
customer record from the lookup window.
NO ACTIVITY SINCE
- Enter the desired cut-off date.
Customers having NO invoice activity or sales history after this
date will be considered for the merge, if they also have no open
Reservations, W.O.'s, Orders, Quotes, or any unpaid balances On
Account.
MERGE INTO CUSTOMER#
- Enter the "archive" customer # to which to merge the inactive
customers, or select it from the Customer
Search window.
Note: The Merge into Customer cannot be designated a
child customer.
A special merge customer record can be setup in Customer Information to accumulate the inactive
customer data.
CUSTOMER TYPE
- Select one of the following customer types to filter the
customer selection:
- Click On Account to only include customers with the
ability to charge invoices on account in the selection.
- Click Cash to only include Cash customers in the merge
selection.
Because posted Cash Invoices are not On Account, they are not
considered open and are not considered by the 'No Activity
Since' filter.
- Click Both to include all customers in the
selection.
CUSTOMER CREDIT RATING
- Accept ALL and to include customers with any credit rating, or
select a specific customer credit rating for the selection from the
drop-down list, as defined in the Customer
Information.
CLEAR EXISTING RECORDS
- Merge records can also be entered manually in Customers To Merge.
Check this box to remove any existing records already stored in
Customers To Merge, and to start a new
list.
Uncheck this box to add any new customers from this search to the
existing list in Customers To Merge
without erasing it.
Finished?
- Click ACCEPT to initiate the customer search or CANCEL to abort
the search process.
The resulting list of eligible customers is displayed on
Customers To Merge screen, where records
may be added or deleted, and the Merge into Customer may
also be changed in specific records if required, before the merge
is initiated.
