Print G/L Trx/Date Errors

Sometimes, items are posted back into time periods that should
have been closed. For example, the Fiscal Year is balanced and
closed, and then a Bad Debt write-off is back dated it into the
prior year, the prior year will be "re-opened".
This error will show up on the Trial Balance, with the Beginning
Balance not equal to zero. Since the Beginning Balance won't be
zero, the entire current Trial Balance will be out of balance and
will need corrections.
This utility can be accessed from the Utilities menu for
General Ledger operations.
Prevention:
Use the Date Range Control features to
stop back dating problems. Include ALL employees in this. Refer to
Date Range Control for set-up.
To Solve:
Back dated entries must be identified, and
moved into the current Fiscal Year/Period.
- Step 1
- Identify the LAST valid G/L transaction number that was allowed
for the Fiscal Year/Period. The transaction number is visible by
using G/L Account Inquiry .
If the year is closed, try looking in the PLRE account for the
closing entry, and use that transaction number.
(Anything back dated and posted after closing the year must have a
higher transaction number, and will be isolated.)
Step 2
- Run Print G/L Trx/Date Errors using the transaction
number in Step 1 as the starting transaction number.
The Valid Date Range should be for this fiscal year, i.e. anything
posted after the starting transaction # with a date outside this
fiscal year will print on the report.
- FROM TRANSACTION #
- Enter the first transaction # to start searching for the
error.
- TO TRANSACTION #
- Leave this transaction # field blank to end at the most current
transaction, or type in the desired ending #.
Only transactions within this range will be printed.
- VALID START DATE
- Enter the beginning date. Transactions posted with dates prior
to this date within the transaction range specified above will
print on the report.
In the example discussed above, use the beginning of your Fiscal
Year to find back dated entries.
- VALID END DATE
- Enter the ending date. Transactions posted with dates after
this date within the transaction range specified above will print
on the report.
Use today's date to identify entries dated into the future.
In the example discussed above, use the fiscal year end to find
entries dated outside of the fiscal year.
- Finished?
- Click ACCEPT to proceed or CANCEL to abort.
Step 3
- On the resulting report items NOT posted to the A/R or A/P
accounts can be reversed and re-entered using Miscellaneous G/L Journals .
Items posted to the A/R or A/P accounts must have the
corrections done through the A/R or A/P menus.
