- DATES:
- SRM Software permits two different formats for entering the
date:
European (DD/MM/YYYY) or North American (MM/DD/YYYY)
Before any data is entered, determine which format your firm
will use and establish the date option in Company Information.
Once information has been entered using the chosen date format, do
NOT change this format, as some existing dates will remain in their
original format and will NOT be converted.
Note: Do not enter the slashes when entering a date, as they are
inserted automatically when the field is accepted.
YEARS:
- The Year is stored in the software as 4 digits, however when
entering the year, usually only the last two digits are required.
When a 2 digit year is entered, the "50 Year Rule" applies.
- This rule dictates that when the 2 digit year entered is 49
years or less than the current year, the year will be interpreted
as after the current year.
e.g. If the current year is 2010 and the year 59 (49 yrs less than
2010) is entered, the year would default to 2059
- When the 2 digit year entered is 50 or greater than the current
year, then the year will be interpreted as before the
current year.
e.g. If the current year is 2010 and the year 60 is entered, the
year would default to 1960
Note: If a year needs to be entered, that does not fit this
rule, then the 4 digit year must be entered.
e.g. For a birth date in the year 1965, the 4 digit year should be
entered.
TIMES
- When entering a time, such as a TIME OUT, the time always
displays in the 24 hour format (14:30:00 equals 2:30 PM), and
includes the seconds.
(The seconds can be ignored.)
The current time displays, which can be overridden. Follow these
rules:
- Use the 24 hour clock
- Never enter the colons or decimals
- Seconds can be ignored (they never get printed anyway)
Examples:
- Enter 12:30 PM as 1230
- Enter 8 AM as 08
- Enter 8:15 AM as 0815
- Enter 2:45 PM as 1445
