Internal Transfer Console - Two Step


Inventory Control Menu -> Inventory Branch Transfers Menu -> Internal Transfer Console

The Internal Inventory Transfer feature can be used to shift and track equipment moving from one location or department to another, requiring a shipping transaction and then a receiving transaction to complete the transfer.
This transfer process can also be used to facilitate the central purchasing and distribution process, as outlined in Central Purchasing Overview.

This Internal Transfer Console provides complete details of products that are in transit on internal branch transfers.
It provides the ability to manage the transfers, including entering or modifying transfers, shipping products, receiving products, controlling a Hold status, printing transfer packing slips, outputting a transfer list to a report or to a spreadsheet, and viewing individual transfer details with comments.

Generate Transfers For Sales Parts by Available Stock:
The utility Allocation Of Stock To Branches can be used to select sales parts for shipment to meet the min/max requirements at selected locations, and to create the Internal Branch Transfer records in preparation for shipping.

Status Code Update on Branch Transfer Feature:
This process will automatically update the product Status Code on non-bulk equipment when an 'Inventory Transfer' is completed, providing the ability to re-flag equipment as available or not available to rent.

To activate this, the Two-Step Transfers Update Status Code flag in the Divisional Inventory Parameters must be checked for the transfer 'From' location.
Then the new Product Status Code can be selected when the transfer is created in Internal Branch Transfers.
The product Status Code will then be updated on the non-bulk equipment when the transfer is received in Receive Internal Transfer.

When the product Status Code is changed on receipt of a non-bulk rental product, an audit record is written to Status Code Change History for INDH04.

Example Transfer process flow updating the Status after Service:

  1. Return Or Exchange with Service Required:
    When non-bulk rental equipment is returned to a 'Rental Store' using Rental Return or Equipment Exchange, the equipment status can be updated to a Product Status Code indicating it is not available to rent as it "Requires Service".
    e.g. in the Wash bay
  2. Transfer To Service Department:
    The equipment is then transferred from the 'Rental Store' location to the 'Service Department' location using Internal Branch Transfers, maintaining the product status of "Requires Service" and not available to rent.

  3. Service Completed & Return to Store:
    After the service work is complete on non-bulk equipment, and the 'Service Department' ships the equipment back to the 'Rental Store' also using Internal Branch Transfers, an "Available to Rent" type Status Code that has been pre-selected in create an Internal Branch Transfer can automatically be applied to the serviced "rental ready" equipment when it is received back in the store location by the Receive Internal Transfer.

    Note: To use the "update Status Code" feature for Service Completed type transfers, the processing needs to be activated in the Divisional Inventory Parameters for the division representing the 'Service Department' location, which would be the 'From' location in the transfer.

Internal Transfer Process
This Transfer console can be used to manage transfers in two ways:

  1. Using the buttons at the bottom of the screen prior to viewing any transfer details in the paging screen, the operator can immediately:
    MAINTAIN -Internal Branch Transfers
    SHIP -Ship Internal Transfers by Transfer or by P.O.
    RECEIVE -Receive Internal Transfers by Transfer or by P.O.
    PRINT -Print Internal Transfer Packing Slips
    HOLD STATUS -Change Hold Status By Purchase Order
  2. To review and monitor a range of transfer transactions use the selection filters to as follows:

    RECEIVING LOCATION (OR ALL)
    Type ALL to display transfers being shipped to any location, or enter a single receiving location, or select a location from the drop-down list.

    SENDING LOCATION (OR ALL)
    Type ALL to display transfers being shipped from all locations, or enter a single shipping location, or select a location from the drop-down list.

    FROM PRODUCT NUMBER
    Leave this field blank to display all products, or enter a starting product number, or select one from the window.

    TO PRODUCT NUMBER
    Leave this field blank to display all products, or enter an ending product number, or select one from the window.

    Resulting Transfer Details:
    The resulting transfer lists, the Transfer#, Sequence# for the product detail on that transfer, Product#, From shipping location, To receiving location, original Quantity on the transfer transaction, Shipped quantity, Balance to Ship remaining on transfer, Received quantity at end location, Balance to Receive that has been shipped and has not been received, On Hold flag preventing shipping, the P.O.# source from inventory received in warehouse using Central Purchasing, and the Serial# where applicable for any serialized Sales part.

    The list of transfers can be resorted by any column in ascending or descending order, by clicking in the column heading.
    Columns can also be dragged and dropped to reposition them as required.

Note: The utility Auto Receive Non-Bulk Rental Item will update the location quantity record and cleans up any outstanding On Order and On P.O. Internal Branch transfer records.
