Count Merchandise Inventory By Store

This utility can be used to update the sales inventory quantity count as of a specific date at a specific location. The date counted is saved in Sales Inventory.
A posting is also generated through the Rental Journal Transactions report in Daily Close 3, for the change in the inventory value. For an increase in inventory value, a debit is posted to the Inventory Account as assigned in Sales Product Classes, and a credit to the G/L account for the Type of Adjustment as setup in Inventory Adjustment Types.

A flag in the Company Inventory Parameters activates or suppresses the prompt to print the optional Inventory Adjustment Transactions report when the adjustments are completed.

The prompts are:

LOCATION
Enter the product location of the inventory quantity count adjustment, or press <F4> and select the location from the window.

ADJUSTMENT DATE
Press <ENTER> to accept today's date or enter the correct date of the quantity count.
This date is saved as the Date Counted in Sales Inventory.

TYPE OF ADJUSTMENT
Enter the type code for this adjustment or press <F4> to select one from the window. This adjustment type controls the G/L posting account to be credited for the inventory adjustment amount.
These types can be setup in Inventory Adjustment Types.

COMMENT
Enter any notes pertaining to this adjustment.

PRODUCT NUMBER
Enter the product number or press <F4> to select one from the window. Only Sales parts can be updated.

CURRENT QUANTITY ON HAND
The current quantity displays.

COUNTED QUANTITY ON HAND
Enter the quantity at this location on this date.
If this field is left blank, the current quantity will be removed.

QUANTITY ON CONTRACT
Enter the quantity known to be out on contract on this date.

NEW QUANTITY ON HAND
The quantity entered as counted plus the quantity entered as out on contract displays. This count will update the location quantity for the sales part.

If a quantity adjustment has been made for a serialized sales product, and the product is NOT flagged to enter serial numbers at "Time of Sale", the serial number window opens to add or remove a serial number to match the quantity adjustment being made.


QUANTITY VARIANCE
The difference in the original quantity and the new quantity displays.

COST VARIANCE
The difference in the cost of the inventory displays. This is the average cost times the change in quantity. This amount is posted in the next Daily Close on the Rental Journal Transaction report, as the adjustment to the inventory value.

If cost by location is activated in Support Application Parameters, the unit cost used in the variance calculation, is the location cost rather then the average cost.


'Y' TO ACCEPT, / TO CANCEL
Press <ENTER> or N (NO) to abort the change in product quantity.
Enter Y (YES) to accept this change and to generate the cost posting to the G/L.

Serialized Sales Part Window
This window opens if the sales part is a serialized sales item. The window displays the On Hand quantity at that location and the number of existing serial numbers at that location.

Enter the additional serial numbers and information for the new quantity entered, or press <F4> to selected the serial numbers to be removed if the quantity is being reduced.


PRINT
This prompt appears when the adjustments are completed and the operator is exiting the menu option, only if it has been activated in the Company Inventory Parameters.

Enter Y (YES) to print the Inventory Adjustment Transactions report. It lists the adjustment posting details, including the G/L Inventory accounts, the G/L Adjustment accounts, and the divisions for the postings. It also lists the product numbers, dates, adjustment comments, and the amounts of the adjustments.
Enter N (NO) to skip printing the Inventory Adjustment Transactions report.

Whether or not this optional Inventory Adjustment Transactions report is printed, does not affect the G/L adjustment postings that occur in Daily Close 3 when the Rental Journal Transactions Report is printed and accepted.
