This program deletes a product, one at a time.
Tight control can be maintained on which operators are able to
delete products, by controlling the permissions on the roles
assigned to Operators.
Refer to the Security Roles setup on the
Security tab of Configure System
Settings for more information.
It may be useful to delete a product number if the product was
entered incorrectly, or is a duplicate of another product
entry.
All records associated with the Product, including Monthly Product
History, Sales History, Missed Rentals, Repairs, Rental Rates,
Fixed Asset Tags, Locations, Depreciation, Re-Order Information,
and Service Recommendations, are deleted in this one-step
process.
It is optional to delete Disposal Transactions for rental items during the product deletion. However it is NOT recommended to delete the disposal transactions, since these records are usually required at year-end to reconcile the changes in the G/L Account for Rental Inventory and make adjustments to accumulated depreciation.
If a product is still listed on a contract, a reservation or an invoice, it can not be deleted until the document has been deleted, or the product has been exchanged for another product.
The prompts are:
If the deletion cannot be made at this point, a warning message is triggered with the option to view the areas and specific document numbers that are still linked to the product. These documents need to be deleted, or the product removed before the product can be deleted.
Note: Invoice history and Work Order history are not checked.
If it is safe to proceed with the deletion of a rental product, the prompt to delete the disposal records for this rental product appears. The disposal records refer to information stored when rental equipment is sold. It is not recommended to delete any disposal records when deleting rental products.
This warning alert signals that if the product and its quantity are deleted from the inventory file, the value of inventory represented in the G/L may no longer match the value of inventory in the sub-ledger.
Note: Any bulk rental item that has been designated as substitute "Bulk Rental Product#" in Groups cannot be deleted.
A transaction is written to the deletion log that can be viewed
Delete Log, under function name
RSPF95.
The old product number displays as the Deleted Key information.
This also tracks the date and the operator that deleted the
product.
Exchanging a Product Number:
Instead of deleting an old product #, and then setting up a new
number in its place, use Change Product
Numbers or Merge Sales Product
Numbers.
These utilities swap or merge the old numbers for the new numbers,
and delete the old numbers.
The number on documents such as Contracts, Invoices, etc. is also
updated and the old product history is transferred to the new
number so that it is not lost when the old number is deleted.
